Scope
New Living Expo uses its Event Team Initial Expression of Interest form to coordinate volunteer and staff participation in the 2027 event. This policy explains how we handle information submitted through that form and use our Google Sheets connection.
Information we collect and why
The form collects your name, email address, mobile number, confirmation of the age requirement, available dates and hours, shift commitment, preferred roles, experience, reliability, accommodation-contact preference, and acknowledgement. Please do not include medical details or other unnecessary sensitive information in free-text answers.
We use these responses to review expressions of interest, discuss suitable roles, arrange availability, and contact you about the event. Submitting the form does not guarantee a position.
Storage and access
Responses are stored in our website’s Forminator submission records and copied to a Google Sheets spreadsheet used for event staffing. Form notifications may also deliver responses by email to designated organizers.
We limit access to organizers and service providers who need the information for these purposes. Our website hosting, email, and Google services process information as part of providing those services. We do not sell application information or use it for unrelated advertising.
Google account connection
An authorized organizer connects a Google account to the New Living Expo Form Sheets app. Applicants do not need to connect a Google account or give us access to their Google Drive.
The Forminator connector requests permission to view, edit, create, and delete Google Drive files and Google Sheets spreadsheets in the connected organizer account. Although these permissions are broad, our intended use is to create and maintain the designated application spreadsheet. We use the connection credentials and relevant spreadsheet data for that integration, not to use unrelated Drive content for advertising, resale, or other unrelated purposes.
Our use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including its Limited Use requirements.
The connected account owner may revoke access through their Google Account settings. Revoking access stops future authorized transfers; it does not automatically remove responses already stored in the website, spreadsheet, or email.
Retention and requests
We retain information only as long as needed for event staffing, related follow-up, and applicable recordkeeping obligations, then delete or anonymize it. To request access, correction, or deletion of your information, contact neilpta@gmail.com. We may need to verify your identity before responding. Some records may need to be retained to meet applicable obligations.
